Privacy Notice for Applicants
We, Eleo Technologies B.V., act as data controller for any information that you provide to us, or that we obtain from others, in relation to your application procedure with us.
Through this notice, we would like to inform you about the types of personal data we process, for which purposes, and for how long, as well as your rights with respect to your personal data.
Types of personal data; purposes and grounds for processing
Data we collect from you:
As an applicant, you will be asked to provide personal data such as your:
• Full name
• Contact details
• CV
• Potentially, a motivation letter
Depending on the job for which you are applying, we may also ask you to take one or more assessments and/or (skills) tests, the results of which we will process and share with you.
In case we decide to arrange international flights, e.g. in order for you to attend interviews, we may ask you to provide information such as ID number and validity dates, but not your social security number.
We will also process our assessments (e.g. those made by our interviewers) about the progress of your application.
We use all aforementioned data for the legitimate purpose of our recruitment process, in particular to make sure we know who is applying and to assess your qualifications and suitability for the relevant job. We may also process parts of the data (such as educational background) for purposes of statistical analysis to improve our recruitment process, which is done in such a way that the data cannot be linked to individuals.
If we decide to conclude an employment contract with you, we are legally obliged to make a copy of your ID or ask you to send us a copy of your ID, making sure that your social security number is redacted (that is, hidden or covered).
Data we collect from others
We may sometimes collect information about your qualifications from others, such as from the references you mention to us.
In our recruitment process, we may also use third-party recruitment agencies and other service providers. If such service providers approach you for the purpose of recruitment, they may share with us the information they collect from you, such as your name, contact details, CV, motivation letter, and other information you provide to them. We will notify you by e-mail and share this privacy notice with you if we receive such information.
We use all aforementioned data for the legitimate purpose of our recruitment process, in particular to make sure we know who is applying and to assess your qualifications and suitability for the relevant job. We may also process parts of the data (such as educational background) for purposes of statistical analysis of successful applications to improve our recruitment process, which is done in such a way that the data cannot be linked to individuals.
Retention period (how long we keep your data)
For our legitimate interest of being able to identify and efficiently manage multiple simultaneous applications and/or recurrent applications, we keep your personal data for one year after our decision whether or not to hire you.
If we decide to conclude an employment contract with you, we are legally obliged to keep a copy of your ID, making sure that your social security number is redacted (that is, hidden or covered), for the legally prescribed period during and after employment.
Transfer of personal data to third parties
To the extent necessary for the purposes mentioned above, we may share your personal data with our affiliated companies, service providers or advisors, with whom we have concluded agreements to protect your personal data, and/or with the references you mention in your CV or letter. If our business is restructured or sold, your personal data will be shared with our affiliated companies, service providers and advisors to the extent needed for such restructuring or sale, and with any new owner(s) of our business.
Transfer of personal data out of the EEA (European Economic Area)
To the extent that our affiliated companies, services providers and advisors, with whom we share your personal data for the purposes mentioned above, are based in countries outside the EEA (European Economic Area), we have concluded standard contractual clauses to protect the personal data or have implemented other appropriate safeguards.
Your rights with respect to your personal data
You have the following rights with respect to your personal data:
• The right to object to us processing your personal data
• The right to receive an overview of copy of your personal data from us
• The right to request correction or deletion of your personal data
• The right to restrict processing of your personal data
• The right to ask us to transfer your personal data to others
• The right, where you have given consent to process personal data, to withdraw such consent at any time
• The right to ask for information about the legitimate interests based on which we process your personal data
• The right to address any complaints about the way your aforementioned rights are handled to the data protection authority in the country where you are located
In some cases, applicable laws may prevent us from complying fully with your requests, such as when we are legally obliged to keep certain personal data.
